Inventory Adjustments
For products with physical stock, inventory adjustments allow you to manually change the inventory levels of products. You might use inventory adjustments to initially load your existing inventory levels into Invoiced.ai or correct cost/quantity issues.
Drafts Table
All of your adjustments in Draft status can be viewed in the table. By default, other users' drafts will not be visible. The table supports the following fields:
- Adjustment #: the unique number associated with adjustment. See Number Sequencing to configure this.
- Name: the name of the adjustment as it will appear throughout your organization's dashboard.
- Created Date: the date the adjustment was created.
- User: the name of the user who created the adjustment.
- Status: the status of the adjustment.
To view an existing adjustment, click the view icon. To create a new adjustment, enter the details into the top of the table and hit Enter
.
History Table
The history table is identical to the drafts table except that it only shows adjustments that have been submitted and are no longer drafts. This includes adjustments in the Pending, Approved, Canceled, and Denied statuses.
Creating an Inventory Adjustment
After entering the details into the top of the Drafts table and hitting Enter
, you can work on your draft by clicking the view icon.
At the top of the adjustment, some essential details can be entered.
- Adjustment #: the unique number associated with the adjustment. Leave blank to use the auto-generated number from your Number Sequencing configuration or enter the desired number if your number sequencing configuration allows doing so.
- Name: the name of the adjustment as it will appear throughout your organization's dashboard.
- Transaction Date: the effective date of the inventory adjustment.
Line Items Table
In the table, the adjustment line items can be entered. These are the products that will be affected by the adjustment. The table supports the following fields:
- Product: the product to adjust. Only stock items are available for selection.
- Unit Cost: the cost of each unit being added or removed by the adjustment. Can be positive or negative.
- Quantity: the number of units being added or removed by the adjustment. Can be positive or negative.
- Extended Cost: the value of the adjustment line item (unit cost x quantity).
Available Actions
When viewing an adjustment, there will be actions available to you via the buttons at the top right of the adjustment.
For any adjustment:
- Download PDF
- Download a PDF copy of the adjustment
- Or click the down arrow for:
- Print PDF: print a copy of the adjustment from your browser.
For draft adjustments:
- Submit
- Submit the adjustment for approval
- Or click the down arrow for:
- Duplicate: create a duplicate of this adjustment.
For submitted adjustments:
- Duplicate: create a duplicate of this adjustment.
